Account Expiration

Due to resource limitations, Colorado College cannot keep email and server accounts active indefinitely for all users after they leave the College. Several important factors come into play:

  • Physical space on our servers is limited, and our need for more space (to store email messages and data files, for example) grows at a fast rate.
  • Unique usernames are also limited. For example, if we never retire the username JDOE or J_DOE, we’re forced to use middle initials (and even fake middle initials!) in order to differentiate accounts as our CC database grows.

In consideration of these resource constraints, the Colorado College Information Technology Policy Board has established the following account expiration policy for both email and server accounts:

  • Alumni accounts will remain active for six months after graduation. This should allow graduates enough time to find employment and/or enroll in graduate school. Alumni should check out the Colorado College Online Community service provided by Harris Publishing. Once registered, alumni can use the email address yourname@alumni.ColoradoCollege.edu . It is a forwarding service, so if you change your email address from john@hotmail.com to DF34XY@aol.com , you only need to reset the forwarding. No one else needs to be told - they just continue to send mail to yourname@alumni.ColoradoCollege.edu .
  • Employee accounts (support staff, administrators, faculty) will remain active for three months after termination of their employment with the College. This corresponds to health benefits and it allows employees time to deal with the messages in their account.
  • Retirees reap the benefits of staying at CC for a long time - their accounts will remain active indefinitely.

There are several free email services available on the Internet (e.g., hotmail.com, juno.com). There are also several free Internet Service Providers (WorldSpy, IFreedom, NetZero). Most of these also provide free email and web site hosting. You can find information on these services by browsing Yahoo (Computers & Internet, Connectivity, Access Providers, Free Internet Access).

Once the established time period has passed (either three or six months, as described above), accounts will automatically be terminated. If you have questions, or if you need help forwarding your messages, please call the Colorado College Help Desk at 389-6449 or check out our web page on email.

Thanks for your understanding in this important matter.

If you have comments on these policies, please forward them to the Information Technology Policy Board at ITPB@ColoradoCollege.edu.
