Welcome to the Senior Guide to Post-Graduation for Computing!

This guide is intended to help graduating seniors save all their important data, including e-mails from their CC account, off of the Colorado College Network.

It is very important to note that your account will expire 6 months after the date of your graduation - after that time, you will no longer be able to log in to your email or access your network drives.  We recommend going through this guide as soon as possible to make sure everything you need is saved.  Once your account has been expired, it will be deleted shortly after and your email will not be recoverable.

How to set up a permanent forwarding address through the Alumni office.

The Alumni Office offers a permanent forwarding address - this is not a way you can keep your CC email account, it is simply a pointer that will forward all mail to an account you specify (ex. john.smith@alumni.coloradocollege.edu).

Such a forwarding address is very helpful because no matter how many times you change your actual email address, everyone else doesn’t even know you changed it - they just keep sending to the same forwarding address.

How to set up an “Out of Office” reply to notify those that e-mail you that your e-mail address is changing.

If you want your CC email to automatically go to another address, here’s how to make that happen. We recommend that this be done if your Colorado College account will soon be deleted, since it can warn people to use your new address in the future.

Out of Office Assistant

Using the Full Version of Outlook
Within Outlook, click on the “Tools” menu and select “Out of Office Assistant.” Click the button saying you are currently out of the office. You may want to add a message in the AutoReply box indicating your new email address. (The Out of Office Assistant will send an auto-reply to the sender whether you place anything in this box or not. If you don’t want to send an auto-reply message, use the method described below.)

Using Outlook Web Access
You can also use the out of office assistant by looking at your e-mail through the CC website to set an autoreply message. Once you have logged into your e-mail click on the “options” button on the left side. The first set of options is the “Out of Office Assistant” where you can set it to either be “I’m Currently Out of the Office” or “I’m Currently in the Office.” Select “I’m Currently Out of the Office” and enter your desired message below - generally speaking you would explain that your account is going to expire and that they should send future e-mails to your new e-mail address. Make sure to save your settings by clicking on “Save and Close” on the top of the page.

How to obtain a new e-mail account and save any information from your CC e-mail account.

To obtain a new e-mail account, you can try any free online e-mail providers that are available (i.e., Yahoo, Hotmail, and Gmail).

Creating a Personal Folders File

This will allow you to save emails from your CC account on a computer with Microsoft Outlook. It will not allow you to transfer those emails to another account, such as Yahoo mail, Hotmail, or Gmail*. Keep in mind that if you follow these steps to create a personal folders file, you can only open that file with the full version of Microsoft Outlook.

* Please note that if you have a Gmail account, you can save emails from your CC account as described in the next section. You do not need to create a personal folders file for Gmail.

After you have created your .pst file, you can open up Outlook 2003 and simply drag the emails or folders that you wish to be archived to the newly created folder as a way to save your emails. It you saved it to your desktop you can now burn it to a CD or just move to your USB drive if you did not save it there initially.

To get your emails back at home using Office 2003:
Follow steps 1-4, but on step 5, instead of naming a new Outlook .pst file, just select your backed up .pst from the directory you have it stored, click okay, and okay again to add it to your Outlook profile. Just enter Outlook again and you should see your backup folder with all your saved emails inside.

To save your contacts from Outlook:
Open outlook. Go to contacts. File. Import and export. Import and export wizard – export to a file. – export to a “personal folder file (.pst).” Select your contacts folder. Name your file and select where you want to save it. Finish.

To reopen your contacts and import them:
Open Outlook. Open File. Import and export. Import and export wizard. Import from another program or file. “personal folder file (.pst)”. browse for the .pst file that you backed up – select it and push next. Select where you want the contacts to go. Click on finish. The contacts will now be in your Outlook!

Temporarily forward your CC e-mail to your GMail account

If you have a Gmail account, it can be convenient to set it up to read your CC email as a temporary method to ease the transition away from your account and to retain your old CC emails. This will not extend the life of your CC email account or email address.
