How to use Public Folders

To use Public Folders from the OWA premium client, click the “+” to expand them, and then continue down the list, expanding folders as you go until you find the one in which you would like to create a post. In this case, I want to post a message in “Exchange Hints Q&A” so I’ll expand “Public Folders,” then “Administrative Departments,” then “Information Technology Services,” and then click on “Exchange Hints Q&A” to select that folder. In the right pane, you can see a list of messages already posted. In this case, I’d like to create a new post, so I’ll click “New”:

Type a subject and a message, much like a regular e-mail, and then click “Post”:

The message has now been posted into that folder and is visible to anyone with a CC e-mail account who has permissions to view it.

Double-click that post to view the message and, if you wish, click “Post Reply” to answer it:

This is very similar to replying to an email — the only difference is that it will be posted into the Public Folder for anyone to see rather than emailed to a specific person. Once done composing your response, hit “Post”:

You can then see the reply posted with a subject of “RE: Brand new conversation!” just above the old one:

You can change your view of the Public Folders to the much more helpful “Conversation Topic” view, which groups all the posts by the conversation (i.e. all the replies). To do so, expand the “View” menu by clicking on the down-arrow shown below and select “By Conversation Topic”:

This will change your view of that folder to look like this:

Click the “+” next to any conversation to expand it and view all the messages!
