Schedule a Meeting in Outlook
| Have you ever wondered how people send those handy meeting requests? Do you need to know when someone is free so you can schedule a meeting? Just use the “Plan a Meeting” feature in Microsoft Outlook. In Outlook, click on your Calendar. Then, go to the Actions menu at the top and select “Plan a Meeting.” (It’s the “Tools” menu in Outlook 2001 for Macs.) At the next window, click the “Invite Others” button and select those you want to invite from the address list. After you’ve added them and clicked OK, you’ll be back at the Plan a Meeting screen with blue bars indicating when your invitees have appointments. Choose a time that works for everyone by clicking on the calendar window or selecting it from the boxes below (try the AutoPick button, too), and then click the “Make Meeting” button when you’re done. That’s it! By the way, though, if someone isn’t using the Outlook Calendar to record her schedule, it will look like all of her time is free — using Outlook’s Calendar is a good habit!
