Setting up a Distribution List within CC’s Outlook Web Access (OWA)


1. Log on to your CC email account using the new Outlook Web Access Client.

2. In the left columnar window you should be able to see icons such as “Inbox,” “Calendar,” and “Contacts.”

3. Click on the “Contacts” icon under “Calendar.”

4. While viewing your “Contacts,” select “New > Distribution List” from the toolbar. You’ll see the following window:

5. In order to create a new distribution list, you’ll need to give the list a descriptive name, and you’ll need to add members to the list. Here is a bit more information to guide you in completing this step:

  • The descriptive name should help you remember the purpose of the list, and do note that it will also be the “username” that you invoke to write to the list members (with just one addressee, instead of many separate usernames).

  • To add names to the distribution list, simply type them into the field marked “Add to Distribution List:” and click on the “Add” button after each name.

  • When you are done building your list, click on “Save and Close” or the save icon and the “close” button if you are not using Internet Explorer. A sample list for the 42 FYE mentors is shown below:

  • If you type a name and it doesn’t match the Global Address Book entry, you will see the following message:

  • Simply click the “OK” button and try again with a variation on the name/nickname/etc., or else use the “Find Names” button to look someone up. The “Find Names” feature is most often helpful when searching by last name, since first names/nicknames do vary. Once you find the person you are searching for, you can easily add them to your distribution list with the click of a button. Simply highlight the found name, and then click the “Add recipient to.Distribution List” button.

6. In order to use your new distribution list in order to write to the whole group at once, simply compose a new mail message and address it to your list name (in the example above, we’d use the list name of FYE Mentors). All members of the list will receive it!

7. In order to edit your distribution list (removing members or adding new members), simply return to Contacts and double-click on your distribution list. You’ll be able to modify the list in the window that appears. Simply type in more names as you did in Step 5.ii above, or else highlight a name and then click the “Remove” button if that person should no longer appear on your distribution list.
