Use “generic” email accounts


About Generic E-mail Accounts

& “Generic” email accounts, such as HelpDesk@ColoradoCollege.edu, allow departments or student organizations to send and receive email from a central “emailbox,” which more than one person can access. Colorado College can create a generic account for any department or recognized student organization. There are rules to using them, however, as follows:

  • Generic accounts expire at the end of May every year for security reasons. You need to contact the Help Desk (email or x6449) to have the account renewed. If the account is expired, it will still receive email, but you will not be able to log directly into it.
  • Generic accounts generally do not have VPN, wireless, or dial-up access privileges.
  • One person in a department or organization is responsible for any use or abuse of that department’s generic account.

Requesting New Generic Accounts

To request a new generic account, send an email to HelpDesk@ColoradoCollege.edu with:

1. The account’s suggested username (it should be less than 15 characters — and preferably 12 or fewer — such as “CCGenericEmail@ColoradoCollege.edu”)

2. The department or organization name

3. The name of the person who will be responsible for the account’s use or misuse

4. Contact information for that person.

If the account is for a student organization, we also require the name of a faculty or staff sponsor. We will create the account and then email you with the username and password.

Accessing Generic Account Mailboxes

Generic e-mail accounts can be directly logged into using Outlook Web Access (the preferred method for Macintosh or Linux users), or by adding its mailbox to the Outlook program. To learn how to add a generic e-mail account mailbox to your Outlook profile, click here.

Sending Email on Behalf of a Generic Account as a Delegate

When you are logged into Outlook with your personal account and open emails from the generic account’s mailbox, you can reply on behalf of the generic account. Just click Reply, and you will notice a new “From” field at the top of the reply with the generic account’s name in that box. (If you don’t see the “From” field, go to the “View” menu and select “From Field.”) When others receive your message, it will indicate in their Inboxes that the message came from the generic account, but, when they open it up, it will read “From [your name] on Behalf of [the generic account’s name].” When they reply, the reply will go to the generic account’s Inbox.
